This position is preferably onsite in our Reston, VA office with potential for flexibly for hybrid.

Duties & Responsibilities

  • Demonstrated ability to communicate on the executive's behalf through written and verbal communication
  • Work as the ambassador for executive leadership
  • Demonstrated ability to plan and coordinate small to large events, both internally and for our customers
  • Ability to provide critical thinking skills to a situation and act
  • Ability to implement processes that may be cross-functional
  • Working knowledge of logistical and budget requirements 
  • Manage the executive’s calendar, including making appointments and prioritizing the most sensitive matters
  • Coordinate end-to-end travel needs, including booking all travel and hotels, directions, commuting time and ground transportation
  • Respond to inquiries in a professional and timely manner
  • Demonstrate a high level of professionalism in dealing with confidential and sensitive issues and maintain corporate confidentiality standards at all time
  • Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Organize meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Researching and conducting data to prepare documents for review and presentations for customers and internal audiences
  • Helping prepare for meetings
  • Accurately recording minutes from meetings
  • Using various software, including word processing, spreadsheets, databases, and presentation software
  • Reading and analyzing incoming memos, submissions, and distributing them as needed
  • Experience as a virtual assistant
  • Opening, sorting and distributing incoming emails, and other correspondence
  • Provide general administrative support

Required Qualifications:

  • 5+ years of experience as an Executive Assistant
  • Exceptional written/verbal communication and organizational skills
  • Must be able to work with minimal supervision
  • Good interpersonal skills to work with different management levels
  • Ability to organize a daily workload by priorities
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • A proactive approach to problem-solving with strong decision-making skills
  • Someone that hits the ground running
  • Experience exercising judgment and discretion with sensitive/confidential and proprietary information
  • Strong attention to detail and ability to follow through with a high-level of accuracy
  • Working knowledge of Microsoft Office Suite
